Start here: get the most from BizzyAI in 20 minutes a week
BizzyAI arrives every Friday morning. Each issue has one theme, such as quotes, hiring or customer emails. This page explains each part of an issue and gives you a 20-minute routine to turn each issue into one real improvement.
Time needed: 10 minutes to read this page. Then 20 minutes a week.
What is in each issue

A prompt is the request you type into an AI tool. A skill is saved instructions the AI follows whenever that job comes up. You install it once (Install a BizzyAI skill).
The 20-minute weekly routine
Pick a fixed slot, for example Friday 08:00 with your coffee. Put it in your Outlook or Google Calendar as a repeating event.
Step 1: Read the newsletter (3 minutes)
Read the subject, the Swiss tip and the guide teaser. Ask: “Does this theme touch a job we do every week?” If yes, go to step 2. If no, read the one news story that affects a tool you use, and stop there.
Step 2: Choose one action (2 minutes)
Choose one of these. Not more.
- Follow the guide.
- Install one skill.
- Copy the template into your shared folder.
- Switch on the feature from the deep dive.
Write the action, and who does it, in your calendar or to-do list.
Not sure which action fits? Paste this into ChatGPT, Claude, Gemini or Microsoft Copilot, with the newsletter text:
I run [type of business] in [town] with [number] people. We use [Microsoft 365 / Google Workspace] and [AI tool and plan]. Below is this week’s BizzyAI newsletter. Which one action would save us the most time? Give me the action, who in a team like mine should do it, and the first step in under 10 minutes. If nothing fits, say so.

Step 3: Do the first step now (10 minutes)
Most guides take 30 to 90 minutes. You don’t need to finish today. Do the first step now, for example:
- Install the skill and test it on one real email. See Install a BizzyAI skill.
- Paste the template prompt into your AI tool with one real case.
- Book 60 minutes next week to finish the guide.
Keep the first result (a draft, a list or a checklist) to compare with later ones.
Step 4: Check before you use it (3 minutes)
Before you send or file anything the AI wrote, run the 2-minute check in Check AI answers before you use them: names, numbers, CHF, VAT and any legal claim.
Step 5: Note what worked (2 minutes)
Keep one list, for example a OneNote page or a Google Doc called “AI: what works for us”, where the team can open it. Add one line each week:
09.10.2026: SOP writer skill. Used for closing the till. Saved about 30 minutes. Next: holiday handover.
After three months you’ll see where AI saves you time, and which paid tools are worth keeping.
Once a month (30 minutes)
On the first Friday of each month:
- Review your list. Keep the 3 actions that saved the most time. Drop the rest.
- Share with the team. Show one example in your team meeting. Name the person who will use it.
- Improve the skill you use most. Use it on a real job, tell the AI what you didn’t like, and paste your website or Google Business Profile link so it learns your business. Ask the AI to update the skill, save it and test it again. See Customise a skill.
- Check your settings. Make sure nobody uses a private, free AI account for customer data. See What you can safely share with AI.

If you have no AI tool yet, start with guide 7, then guide 5.
For Swiss businesses
- Use one tool for the whole team, and check what you already pay for.
- Microsoft 365: Business Basic, Standard and Premium include Microsoft 365 Copilot Chat at no extra cost, with Microsoft’s business data protection when staff sign in with their work account (Microsoft Learn).
- Google Workspace: Business Standard and higher include Gemini in Gmail, Docs, Sheets, Drive and Meet, plus Gems. Business Starter has basic access to the Gemini app and Gemini in Gmail (Google Workspace pricing).
- Write in your team’s language. All the assistants in guide 7 work in German, French and Italian. Every BizzyAI skill answers in the language you write in.
- The skills already use Swiss defaults: CHF, 8.1% VAT (the standard rate since 1 January 2024, ESTV), dates as 09.10.2026 and Swiss spelling (“ss”, never “ß”).
- Read the federal SME portal. SECO’s KMU portal publishes articles on how Swiss SMEs use AI (KMU portal, SECO).
