Quote builder: turn job notes and your price list into a quote you can check in two minutes

Typing up a quote after a site visit takes the evening, and one wrong sum costs you margin or the job. The quote builder skill turns your job notes and your own price list into a line-by-line quote (Offerte, devis, offerta) with every calculation shown, so you can check it in about two minutes.

What it does

• Lists each item from your notes with description, quantity, unit and unit price.
• Takes every price from your price list and nowhere else. A missing price becomes [PRICE?] and stays out of the totals. An unclear quantity, such as “a few hours”, becomes [QTY?] and it asks you.
• Calculates the line totals, subtotal, your discount, 8.1% VAT on the amount after discount, and a total rounded to 5 Rappen.
• Applies a discount only if you state one. It never suggests one.
• Works everything out twice from the start and checks that both results match.
• Adds a “Calculation” block and an “Open points” list. If anything is missing, it writes “Draft: totals incomplete until open points are resolved.” above the totals.
• Uses Swiss defaults: CHF with an apostrophe (1’250.00), dates like 09.10.2026, Swiss spelling, “Sie”, “vous” or “Lei”, valid 30 days and payment 30 days net. It uses the reduced rate of 2.6% or the accommodation rate of 3.8% only when you say an item falls under them, and shows no VAT line if you’re not registered.
• Writes [CUSTOMER] unless you give a name and want it in the quote.

It prepares drafts only. It never sends a quote, accepts an order, approves a discount or promises a date you didn’t give it. It reminds you to check the final figures in your own quoting or accounting software before you send.

When to use it

• A customer asks “what will it cost?” and you have the notes but no time to type the quote.
• You want to price a job sheet from a site visit, for example one dictated with Voice to quote.
• You want a second check on the sums in a quote a colleague prepared.
• You write several similar small quotes a week and want the same layout every time.

For a larger job that needs a full proposal around the price, pass the quote to the proposal writer.
