Meeting notes and actions: turn a transcript or rough notes into minutes with clear actions

Most meetings end with good intentions and no record of who does what, so the same points come back next week. The meeting notes and actions skill turns a transcript, an AI note-taker’s summary or your rough notes into short minutes (Protokoll) with decisions, an action list and open questions.

What it does

  • Writes the same short format every time: title and date, who was there, “Decisions”, “Actions”, “Ideas not yet agreed” and “Open questions”.
  • Puts actions in a table with task, owner and due date. If nobody agreed an owner or a date, it writes “not agreed”.
  • Turns a weekday into a date based on the meeting date and shows both, for example “16.10.2026 (Friday)”.
  • Keeps suggestions out of the actions. An idea nobody accepted goes under “Ideas not yet agreed”. If it can’t tell whether something was agreed, it asks under open questions: “Was it agreed that…?”
  • Leaves out small talk, jokes and personal remarks, and keeps health, family and salary details out of the minutes. If a personal matter affects an action, it writes “personal reason” and nothing more.
  • Marks garbled parts of a transcript as [unclear] instead of guessing, which happens often with Swiss German.
  • Quotes numbers and amounts exactly as said, in CHF 1’250.00 format, with dates like 16.10.2026 and plain sentences, never stiff “Protokoll-Deutsch”.

It never invents a decision, action, owner, date or attendee, and it adds no opinions to the minutes. It drafts only and sends nothing.

When to use it

  • A meeting has ended and you want the minutes out to the team within minutes.
  • Your AI note-taker (Teams, Zoom, Google Meet or another tool) produced a summary that is too long or unclear.
  • You took rough notes on paper or on your phone and want a clean action list.
  • You need minutes for a client and want internal remarks left out.
