Meeting prep: walk into a client, supplier or bank meeting ready in 10 minutes

A meeting with no clear goal runs over time and ends without a decision, and the figure you needed is in an email you didn’t reread. The meeting prep skill builds a one-page preparation sheet from the emails and notes you paste: the goal, an agenda that fits the time, the questions to ask and the limits you won’t go past.

What it does

  • Writes the goal in one sentence: what a good outcome looks like at the end of the meeting.
  • Builds an agenda of three to six points with minutes that add up to the meeting length. The main decision comes before the halfway mark, with 5 minutes at the end for next steps. If the agenda doesn’t fit the time, it says so and suggests what to cut.
  • Sums up the background from what you paste (earlier emails, last meeting’s notes, the offer, figures). Each point names its source, for example “email of 02.10.2026”. If two sources disagree, it shows both.
  • Suggests five to eight questions that move the meeting toward your goal, plus one or two the other side could ask you, with what to have ready.
  • Lists what to bring and flags gaps, such as a missing figure, under “Check before the meeting”.
  • Repeats your own limits under “Don’t agree to”. It never invents limits.
  • Uses Swiss defaults: dates like 15.10.2026, times like 10:00, amounts like CHF 4’500.00 with “excl. VAT” or “incl. 8.1% VAT” where your source says so.

Every background fact comes from what you gave it. When it guesses what the other side wants, it labels the guess “possible”. It prepares only: it sends no invitations, contacts nobody and books nothing.

When to use it

  • You have a client, supplier, bank or staff meeting coming up and 10 minutes to get ready.
  • You need an agenda (Traktandenliste) with timings that fit the meeting.
  • You’re negotiating a price or a contract and want your limit written down before you walk in.
  • You’re asking “what should I ask in this meeting?”
