Skills of the week: SOP writer and handover interviewer

When the know-how for a job sits in one person’s head, these two skills get it onto paper: one writes the instruction from your notes, the other interviews you when you don’t know where to start. A skill is a saved set of instructions for Claude or ChatGPT. Install it once, then use it whenever a job needs writing down.

1. SOP writer

What it does: turns your rough notes, a dictated description, a Scribe recording or a Loom draft into a one-page step-by-step instruction (SOP). Every SOP has the same sections: purpose, when to do it, what you need, steps, what can go wrong, and how you know it is done. It asks about gaps instead of guessing. It removes personal data. It keeps button names exactly as they appear on screen.

Use it when: you want to write down how a job is done, or tidy up an old instruction. It does the drafting step from our SOP guide.

Try it:

Write an SOP for closing the till at the end of the day. Here are my notes: count cash, compare with the till report, difference over 20 francs call me, put the float of 200 in the envelope, rest in the safe, log the amount in the cash book.

What comes back (illustrative excerpt):

  2. Compare the total with the till report.
  3. If the difference is more than CHF 20, then call [owner]. Otherwise, go to step 4.
  4. Put the CHF 200 float in the envelope…

2. Handover interviewer

What it does: interviews you, one question at a time, about a role, client, supplier or task that only you know well. Then it writes a handover document: calendar, contacts, tools and access, decisions, agreements, risks and open questions. Anything you said from memory is marked [to check], so nobody mistakes a guess for a fact.

Use it when: someone is retiring, leaving or going on long leave, before your own holiday, or when you ask yourself “what happens if I’m off for two weeks?”

Try it:

I’m going on holiday for three weeks. Interview me about handling our two biggest wholesale customers.

What comes back (illustrative excerpt):

I’ll ask one question at a time. Say “skip”, “pause” or “done” whenever you like.

First question: what happens with these two customers in a normal week? Orders, calls, deliveries, anything you do regularly.
