Loom AI: show and explain a job once, get a written SOP

Verdict: Some jobs can’t be captured as screen clicks: setting up a machine, opening the shop, handling a difficult customer call. Loom films you doing the job while you explain it, on your phone or your computer, and Loom AI writes the step-by-step SOP with pictures from the video. You need the Business + AI plan, free for 14 days.

Rule of thumb: if the job is all clicks, use Scribe. If you would explain it with your hands or your voice, use Loom.

What it does

Loom records video and sound and writes down what you say. Its AI workflows feature turns the recording into a document. You pick the SOP or Step-by-step guide template, and Loom builds the steps from your words and adds screenshots from the video to the matching steps (Atlassian Support). The Loom phone app films with the front or back camera, so a job at a workbench works as well as a job on screen (Atlassian Support).

The plan you need: Business + AI, only for the people who record SOPs. Everyone else reads the finished SOP in Word, Google Docs or a link, at no cost. New workspaces get a 14-day trial with no credit card (Atlassian Support). Start the trial before you record: AI workflows only work on videos recorded on an AI plan.

Set it up

  1. Go to loom.com, create a work account and start the 14-day Business + AI trial.
  2. When asked where to store your data, choose Germany (Frankfurt). You can’t change it later (see Swiss check).
  3. Install the Loom Chrome extension for screen jobs, and the Loom app from the App Store or Google Play for physical jobs.

Record a screen job (computer):

  1. Click the Loom icon. Choose Current Tab, Window or Full Screen.

    What you’ll see: a small recording panel with the capture options, a camera switch and a microphone choice.

  2. Switch the camera off if you only want the screen, and pick your microphone.

  3. Click Start Recording. Do the job and say each step out loud.

  4. Stop the recording from the Loom control panel.

Record a physical job (phone):

  1. Open the Loom app and choose the camera.
  2. Switch to the back camera, so the video shows your hands and the job, not your face.
  3. Press the round button to start. Do the job and say each step out loud. Press it again to stop.

Turn the video into an SOP (always on a computer):

Loom’s phone apps don’t run AI workflows (Atlassian Support), so open the video in a web browser on your computer.

  1. On the video page, open AI workflows and choose SOP.

    What you’ll see: a list of document templates, including SOP and Step-by-step guide.

  2. Read the draft in Loom’s editor. Delete any picture you don’t want.

  3. Click Copy text and paste the SOP where your team keeps its instructions:

Try it on a real task

Made-up example: Garage Rossi, an 8-person garage in Bellinzona, wants an SOP for a seasonal tyre change, so the new apprentice can do it alone by November.

  1. The workshop lead props a phone on a shelf, opens Loom, picks the back camera and starts recording.
  2. He changes the tyres on one car and says, in Italian, what he does and why: which jack points, the torque for the wheel bolts, where the customer’s tyres are labelled and stored, and the “watch out” points.
  3. At the computer, he opens the video, chooses AI workflows, then SOP.
  4. He pastes the text into Claude or ChatGPT with the prompt below, then into the garage’s SOP folder.
  5. The apprentice follows it once with the workshop lead watching, as in step 5 of our SOP guide.

Combine it with Claude or ChatGPT

To bring Loom’s draft into your house format, paste it into Claude or ChatGPT with this prompt:

Below is a draft SOP made from a video. Rewrite it in our SOP format:
Purpose, When to do it, What you need, Steps, What can go wrong, Done when.
One action per step. Put safety steps first and mark them "Safety".
Keep every button name and every number (torque, temperature, quantity)
exactly as written. Don't add steps that are not in the draft. List any
gaps as questions at the end. Write in [Italian / German / French / English].

With our SOP writer skill installed, type “Write an SOP from this Loom draft” and paste the text. If you don’t like the result, say what’s wrong, paste a good SOP you already have, and ask the AI to update the skill. Save it and test it on the next recording (Customise a skill).

Swiss check

  • Data location: videos, transcripts and AI documents are stored in Germany (Frankfurt) or the United States, as chosen when you create the workspace. It can’t be changed later (Atlassian Support). Choose Frankfurt.
  • AI provider: Loom AI sends the transcript of what you said to OpenAI, not the video or audio. Its AI providers don’t keep it or train on it (Atlassian Support).
  • Contract: Atlassian’s data processing agreement covers Loom and has terms for data from Switzerland.
  • nDSG (Swiss Data Protection Act): film with test data and keep customers’ faces, number plates and names out of the picture. List Loom (Atlassian) as a service provider in your privacy notice. If staff appear in a video, tell them what it is for and where it is stored.
  • Languages: Loom transcribes 50 languages, including German, French and Italian, and writes the SOP in the language you speak (Atlassian Support). Speak Standard German rather than dialect while you record, so the transcript and the SOP come out in written German.

Watch out for

  • The free plan has no AI SOPs, and videos recorded before you start an AI plan can’t be turned into SOPs. Start the trial first.
  • Trimmed videos lose screenshots. Record in one go.
  • The AI writes what you said. If you do a step without saying it, the SOP skips it. Say every step, even the obvious ones, and keep the colleague test.
  • The picture shows everything. Close other tabs, use test data and check the background before you film.
